PRN Registration (Cape May Court House, Wildwood, Marmora, Hammonton)

Position Summary: 

The Receptionist serves as the primary point of contact for patients and visitors, providing professional and courteous assistance while managing front desk operations. This role is essential in fostering a welcoming and calm environment for patients and their families. The Receptionist is expected to deliver compassionate service, uphold patient confidentiality, and effectively manage multiple tasks in a fast-paced setting.

 

Essential Duties and Responsibilities:

·         Greet and check in patients promptly and courteously.

·         Ensure all required forms and documents are completed accurately.

·         Answer incoming phone calls, address inquiries and route calls appropriately.

·         Schedule and manage patient appointments efficiently using the clinic’s system.

·         Verify and update patient demographics and insurance information.

·         Collect co-pays, deductibles and outstanding balances at check-in.

·         Assist with verifying insurance coverage as needed.

·         Communicate with billing staff to resolve patient inquiries related to payments.

·         Maintain organized and secure patient records in compliance with HIPAA.

·         Monitor and maintain cleanliness and organization of the front office area.

·         Restock forms, office supplies and other materials as needed.

·         Address patient concerns or complaints professionally and escalate issues as necessary.

·         Provide information about clinic services, hours, and policies.

·         Ensure patients are informed about wait times and any updates to their care process.

·         Recognize and respond to emergency situations by promptly notifying a Nurse or Provider. Aid during emergencies by gathering patient information, ensuring the waiting area is clear and/or contact emergency services (e.g., calling 911).

·         Assist in training new employees as assigned, ensuring adherence to clinic protocols and standards.

·         Participate in staff meetings and review internal communications, including emails, huddle notes, and the Reference Guide, to stay informed on organizational updates.

·         Consistently wear a professional identification badge and the approved uniform displaying the CRUC logo for identification

·         Other duties as assigned.

 

Supervisory:

This position does not oversee staff.

Education/Experience

  • High school diploma or equivalent required.
  • Prior experience in a medical office or healthcare setting preferred.

 

Required Skills/Abilities

  • Strong interpersonal and communication skills.
  • Proficient in computer systems, including scheduling and electronic medical record (EMR) systems (e.g., Experity or similar).
  • Strong Customer Service skills
  • Ability to multitask in a high-pressure environment.
  • Familiarity with medical terminology and insurance procedures.
  • Excellent organizational skills and attention to detail
